of the most frequently asked questions:
I have tried logging onto the webmail and I get asked to install
a certificate. What should I do?
The webmail system is now on a secure connection which means that your internet
browser may need you to confirm that you wish to proceed to the webmail
logging page. Instructions for Internet Explorer 6/7 and Firefox internet
browsers can be viewed from the below links. We are looking at ways of making
this automated so that you will not have to click on 'Yes' (IE6), 'Continue
to this Website' (IE7) or 'Accept this certificate permenantly' (Firefox)
everytime.
I receive a lot of spam/inappropriate emails in my Squirrel mail system - WHY?
On Thursday 6th December the Kirklees schools email group met with YHGFL and discussed the volume of spam/inappropriate emails that are being received. YHGFL informed the group that on average from the 11,000 daily emails sent to Kirklees Schools accounts 65% are spam.
If you use client software (Outlook Express) emails that are spam need to be forwarded to spam@yhgfl.net (this mailbox has been increased so that it should no longer become full!). If you use squirrel mail then tick the box to the left of the spam and then click on the spam button. This automatically sends an email to the above spam address (updating the spam software - spam assassin), and you can then delete these emails.
Inappropriate emails/words - Any emails that contain inappropriate content, please forward them to offensive.content@kirklees-schools.org.uk, the schools email team will place a call with YHGFL to get the words blocked.
The schools email team are shortly to be setup with access to run reports on the volume of emails/spam/inappropriate content that is being sent/received to Kirklees Schools so that this information can be disseminated effectively.
In addition YHGFL are soon to add additional spam filtering software to their network which should result in the reduction of spam and also increase the speed that emails are analysed/delivered.

Is there anyway that I can filter out known accepted email addresses
from the troublesome spam emails?
Yes there is, you will need to set up a filter for each known email domain
address (i.e. @kirklees.gov.uk) and move this from the Inbox into another
folder. To find out how to do this, please click here.
Why am I receiving emails with the subject 'Banned content stored
for review'?
This indicates that an email sent to you has been identified as either spam
or includes inappropriate content or potentially virus infected attachments
and has been quarantined (note, emails are quarantined for 7 days then deleted).
If the email is from a known associate then please ask them to send the email again removing any inappropriate content. If the original email had an attachment from the known associate then please ask them to check that the content of the attachment is appropriate and also to ensure that file has been saved correctly (files that have two dots in the filename are flagged as suspicious and quarantined, example = school.email.doc)
However, if the email that you are expecting meets all the above criteria,
then the actual 'banned content email' you received should have a 'message
id' and 'date code'. Please forward this email to intech.helpdesk@kirklees.gov.uk
requesting a call be raised. This will be passed to the schools email team
for further analysis.
I've installed Internet Explorer 7, but I get a 'Time Out' or 'Page cannot
be displayed' error when attempting to access Webmail?
This is due to a setting that needs to be changed within Internet Explorer
7:-
Amendments:
1) Open Internet Explorer
2) Click on Tools
3) Select Internet Options
4) Click on the Advanced tab
5) Scroll down and under the heading 'HTTP 1.1 Settings', untick Use
HTTP1.1 through proxy connections.
When I forward in 'Squirrel Mail', why do I not know who the mail is
from?
Currently you may have noticed that if you have setup a forwarding rule
in squirrel mail, when you receive the mail at another email address the
mail reads from cyrus@yhgfl.net. The reason for this is
explained here.
Yhgfl have provided a work around using 'Thunderbird' for now, but are looking
further into this issue (click
for workaround).
Also, from the account that you are have setup the forwarding filter, you
will need to ensure that the reply address (Options>User Information)
has this accounts email address applied.
How can I use Outlook (Express) to read my e-mails?
This will need to be set up manually using the instructions provided by
ITRO (click here) or alternatively a guide
is provided on the YHGFL
website.
I've already got an e-mail account, can I use that account for receiving
my school email?
Yes - you need to set up a forward. To learn how to set this up, click here.
I've forgotten my password, what can I do?
Phone Intech (01484 225940) and they will raise a call to ask for your account
password to be reset.
A member of staff has left without telling me her password. She has diverted
her mail to her home e-mail account, what can I do?
Phone Intech (01484 225940) and they will raise a call and ask to have that
account password reset.
Each time I print my e-mail, it prints all the e-mail addresses shown.
At the moment the only solution to this is to paste the main text into Microsoft
word and then print that document. It happens because the addresses entered
are Carbon Copy and not Blind Carbon Copy.
I open an attachment, when I try to save it I get an error.
Always right click and Save Target As
. Select the location to save.
You can now work on this document. If the document is a form that needs
filling in, complete it, save it and then attach it to your new e-mail.
When I print my message it scrolls off the page, how do I make it fit?
Again the only solution to this is to paste it into Word and then print.
I have more than one post of responsibility and I don’t want
to have to check 2 mailboxes.

the mail directed from one email box to the other, so you only need to check
one mail box or click here

I have been told my mail box Is full. What do I do
You need to empty all the mail, including the sent mail. Tick the box at
the side of the message and then click on Move to rubbish.
If your mailbox is so full that you cannot carry out the above instruction
then do the following :
1) From within your mailbox click on the top link named 'Options' and from
the next page choose 'Folder Preferences'.
2) In the top drop down list named 'Trash Folder', drop down the list and
choose 'Do Not Use Trash', click on the submit button at the bottom of the
page to apply changes.
Please note that this action permentantly deletes emails without moving
them to trash. Once you have deleted the unrequired mails you may wish to
reverse the above action and change the drop down back to 'Inbox/Trash'.

I want to change my password. How do I do it.
Click on 'Options' – change password. You must know your current password
to do this.
I want to forward my email to another email account. How do I do
it

Can I add an automatic signature
Click on 'Options' – 'Personal Information' and then enter your signature
text into the box provided. At the bottom of this page are some signature
options. Once you have added/amended the signature click on 'Submit'.
Can I import my Outlook address book into the system?
Yes. You will need to save the Outlook address book as a CSV file. Then
click on 'Addresses', 'Add Address'. Click 'Browse' to locate your CSV file
and then click on 'Import CSV'. Once your list of addresses appear, scroll
to the bottom and click on 'Finish'.
There is currently a limit of 5kb on the address books that can be imported.
This is being looked into by YHGFL who should shortly have applied a patch
that will resolve this issue.
